01.

Proposal design and validation

Starting from the idea for a project, the first question is to design an outline and to validate it in relation with the specific programme and call to apply.

This includes the selection of this programme and to check the idea with the EC responsible officers.

The result is an outline: background, objectives, work programme, resources and consortia in five pages.

02.

Proposal planning

A plan to prepare the proposal with the tasks to be done, the responsible for each one and the calendar and deadlines.

The plan will be approved by the partner responsible of the proposal preparation.

03.

Consortium building

An optimum consortium must include all the competences required to develop the project, and must accomplish the specific regulations of the programs.

I will prepare an initial list of competences and the potential partners will be discussed with the partner responsible and agreed. I will take in charge the contacts with the potential partners and the negotiation.

04.

Proposal writing

I will coordinate the whole proposal writing, monitoring the defined plan and assuring the quality. Each partner will contribute to the proposal following the tasks and contents fixed in the planning.

05.

Contract negotiation

If the proposal is positively evaluated, a negotiation process is open. I will represent the coordinator during this process and prepares all the documentation required.

06.

Project work planning and organization

To confirm the organization of the project and the commitment and availability of the key persons assigned to the working structure. Work groups composed by representatives of the different partners will be created and tasks and responsibilities will be assigned to them.

The overall project schedule will then be discussed and confirmed under this organizational framework at the kick-off meeting of the project.

The organizational framework and procedures will be collected into a Management Manual to be prepared at the beginning of the project.

07.

Operational management

Coordination and control of the work teams of the different work packages, making sure the compliance with the calendars, the achievement of the objectives and the production of the deliverables.

One-to-one email and telephone contact, conference calls and partner’s meetings will be the main procedures used by the project manager and the management structure in order to fulfil this task.

08.

Continuous evaluation

A main management responsibility is to assure the internal quality of the project. To achieve this purpose, a continuous monitoring and evaluation of the project execution will be implemented, allowing the promptly detection of deviations and the application of the relevant corrections.

At the early stages of the project, an Evaluation Plan will be prepared and included into the Management Manual. The Plan will establish the procedures and guidelines to follow during the project life, including an evaluation calendar and evaluation grids for the different types of deliverables, format and contents of workpackage evaluation reports, and the conditions and requirements for external expert evaluation when deemed necessary by the Consortium
